This is an exciting opportunity to join the professional services team supporting the High-Field NMR National Research Facility within the Department of Physics at the University of Warwick.
We are seeking an enthusiastic and highly organised Senior Administrative Assistant to provide proactive administrative and operational support to the Administrative Officer and Facility Management team. Working within a nationally significant research facility, you will play a key role in ensuring the smooth day-to-day operation of administrative processes that support world-leading scientific research.
The role offers a varied workload, including supporting financial administration, coordinating conferences, workshops and scientific events, managing travel and purchasing processes, maintaining websites and administrative systems, and acting as a central point of contact through the facility's shared email account. You will liaise with internal and external users, before, during and after their visit. You will also have the opportunity to develop your skills through involvement in process improvement initiatives and by supporting a diverse range of facility activities.
The post sits within the research facility, and the post- holder is also a member of the Physics professional services team.

About You
You will be an organised and proactive administrator with excellent communication and interpersonal skills and the ability to work effectively with a wide range of internal and external stakeholders.
You will have experience providing administrative support in a busy environment and be confident managing multiple priorities while maintaining a high level of accuracy and attention to detail. The successful candidate will be comfortable working independently, using initiative to resolve issues, and contributing positively as part of a collaborative team.
You will have strong IT skills, including experience of Microsoft Office applications, and the ability to learn and use new systems quickly. Experience of financial administration, including processing orders, expense claims, travel bookings, budget monitoring or financial reporting, would be advantageous. Experience of organising events, conferences, workshops or meetings, including supporting associated communications and websites, is also desirable.
The role requires someone who can support and improve administrative processes, provide cover for the Administrative Officer when required, and contribute flexibly to the wider administrative needs of the Department and Facility.
Full training will be provided as appropriate.
Whilst training you will be expected to be working full time in the office. There may be scope for some hybrid working later, but you should expect the majority of time to be working on campus.
